Role Overview

As an Event Coordinator for Big Game Nashville, you will be at the center of the action, managing logistics for fan activations, tailgate experiences, entertainment events, and neighborhood celebrations across Nashville during Super Bowl LXIV week. This is a seasonal/contract position with the opportunity for extended engagement based on performance and event needs. You will work with venue operators, caterers, entertainment acts, security teams, and thousands of fans to deliver world-class experiences throughout Music City.

Responsibilities

Pre-Event Planning (3-6 months before)

Coordinate with venue managers to secure event spaces, permits, and insurance. Develop detailed event timelines and run-of-show documents. Manage vendor contracts for catering, entertainment, AV, and decor. Conduct site visits and create floor plans. Coordinate with Metro Nashville for street closure permits, noise variances, and fire marshal inspections.

Event Execution (Game Week)

Manage on-site logistics including load-in/load-out schedules, vendor check-in, staff deployment, and guest flow. Serve as primary point of contact for venue staff, security, and emergency services. Monitor event capacity and crowd management protocols. Coordinate real-time communications across team channels. Manage event budgets and track expenses against approved spending.

Post-Event

Conduct venue walkthroughs and damage assessments. Compile post-event reports with attendance, revenue, and feedback data. Manage vendor invoice reconciliation. Participate in post-mortem reviews and document lessons learned.

Requirements

Required Qualifications

Minimum 2 years of event coordination or hospitality management experience. Strong organizational skills with ability to manage multiple concurrent events. Excellent communication skills (written and verbal). Proficiency in event management software and standard office applications. Valid drivers license and reliable transportation in Nashville metro area. Ability to work flexible hours including evenings, weekends, and holidays during event season. Must pass background check.

Preferred Qualifications

Experience with large-scale sporting events or festivals (10,000+ attendees). CMP (Certified Meeting Professional) or CSEP (Certified Special Events Professional) certification. Knowledge of Nashville venues and vendor landscape. Bilingual (English/Spanish) a plus. First Aid/CPR certification.

Physical Requirements

Ability to stand and walk for extended periods (8-12 hours). Ability to lift and carry up to 40 pounds. Comfortable working outdoors in February Nashville weather (35-50°F average). Ability to navigate multi-level venues including stairs. May require overnight work during event setup/teardown.

Compensation & Schedule

Hourly rate: Contact for pricing depending on experience and role complexity. Overtime eligible per Tennessee labor law. Peak schedule: 40-60 hours/week during event season. Pre-season schedule: 20-30 hours/week. Duration: 3-6 month contracts with potential extension. This is a W-2 seasonal position, NOT an independent contractor role.
